Mindset Conference is a large personal-development event, the kind that fills a hall with hundreds of attendees for a lineup of well-known speakers, a keynote, and a full day of talks and panels. For an event like this, the website is the box office. If people cannot find the information and buy a ticket easily, and if that ticket does not work at the door, there is no conference.
The situation
The organizer came to us with a time-sensitive problem. He had been working toward launching under one name, but the domain that carried his podcast’s name was tied up with a previous agency and never came his way. So the conference had to launch under a brand-new name, and the clock was already running: an event has a fixed date, and that date does not move.
Two weeks. In that window we had to design and build the entire site and stand up a ticketing system that could take money, issue valid tickets, and get hundreds of people through the door on the day.
What we built
The full conference site on WordPress and Elementor: the story of the event and its founder, the speaker and special-guest lineup, the program, pricing, partners, FAQ, and the legal pages a ticket sale needs. The design is clean and modern, video-led, and it points at one thing the whole way down, buying a ticket.
Underneath it, the ticketing engine:
- Ticket sales through WooCommerce, so the whole purchase runs on a proven commerce stack with real payment handling
- Tickera for the ticketing itself. Every purchase is recorded, and the buyer gets an email with a unique QR-coded ticket
- Real-time check-in at the door. Promoters install the Tickera scanning app on their phones and scan each QR as attendees arrive; every ticket is validated against the database on the spot, so it works once and cannot be reused or faked
The part that had to be perfect
A marketing site can have an off day. A ticketing gate cannot. When the doors open, hundreds of people arrive in a tight window, each holding a QR code that has to scan, validate, and let them in, instantly, with no queue backing up onto the street. Every step in that chain, the purchase saved to the database, the confirmation email with the right QR, the scan at the entrance, had to be exactly right, because a failure here is not a bug ticket, it is a person standing at the door of an event they paid for.
So we did not just build it and leave. We were on-site at the conference, ready to react in seconds if anything unexpected came up, rather than answering an email an hour later while a line formed.
The outcome
The site launched on time under the new brand, tickets sold through WooCommerce, and attendees moved through entry cleanly, every QR scanning and validating as it should. The design landed, the technology held, and the event ran without the site or the ticketing getting in its way.
Two weeks from a blank name to a live event site with a working box office and a scannable door is not a lot of runway. We hit it by moving fast on everything except the part that could not fail: every single ticket working.
